The ultimate
Pool Score experience

Last Updated: October 22, 2026

1. Introduction

This Privacy Policy explains how edge guide gmbh ("we," "us," or "our") collects, uses, and protects your personal information when you use our billiards scoring application Pool Score ("App") and the website pool-score.cloud ("Website"). We are committed to protecting your privacy and complying with the General Data Protection Regulation (GDPR) and other applicable privacy laws.

2. Data Controller

The data controller for your personal information is:

Company: edge guide gmbh
Address: Oesterhelwegstr. 19, 33330 Gütersloh, Germany
Email: info@edge-guide.de
Data protection contact: philip@edge-guide.de

3. Information We Collect

3.1 Your Login

• Login data: Your e-mail address and your password. The password is stored by our provider only as a cryptographic hash; we never see it.
• Account record: A random account identifier, the time of registration and of your last login, and whether your e-mail address has been confirmed.
• Acceptance record: The version of this Privacy Policy and of the Terms of Use shown to you and the time you accepted them.

3.2 Your Players and Sessions

• Player names: The name you give your own player, and the names you enter for other players ("guests") who play with you.
• Profile pictures: A picture you choose for one of your own players is stored with that player under your login. A picture you choose for a guest stays on your phone and is uploaded only, temporarily, while you stream a session that guest plays in (see 7.1).
• Game sessions: The sessions you record — discipline, settings, every action with its time, the scores and the result — for matches and training sessions alike.
• Player Data: Player profiles, statistics, performance metrics
• Settings: Your default settings for new sessions.

3.3 Technical Information

• Installation identifier: A random identifier for your installation of the App, stored with every recorded action so that records from several phones can be told apart. It does not identify the device or its owner.
• Network information: When the App or the Website talks to our servers, our provider Google receives your IP address as part of the technical connection; when the App checks your subscription, our subscription service provider RevenueCat (see 7.2) receives it the same way, together with the platform, the operating-system version and the App's version its software reports. Neither we nor they store it for any other purpose.
• Notification token: If you allow notifications, the App stores under your login a token that Expo's push service issues for this installation from the device token Apple or Google give it, with the platform (iOS or Android), the time it was last confirmed and the date it expires. The token lets our server tell your phone that a message or an invitation has arrived; it says nothing about you or your phone beyond that.
• What we do not collect: No device type, no crash reports, no analytics, no location, no contacts, no advertising identifiers. Beyond the platform stored with a notification token and the versions the subscription check reports (see above), nothing about your device is recorded.

3.4 Connections and Invitations

• Invitations: When you invite another player to connect, you type their e-mail address or share an invitation link with a code. The address, or the code, stays on your phone. Our server stores only a fingerprint of it (a one-way hash) — so that an e-mail invitation can reach the account registered with that address, and so that a link invitation can be redeemed by whoever holds the code — together with your display name, the time, the status of the invitation and, once answered, the account identifier of the person who accepted or declined it and, for a link invitation, their player name and a fingerprint of their login address. A fingerprint of your own login address is stored under your login as well, so that an invitation addressed to you can be announced to your phone.
• Messages: Once you are connected with another user, you can exchange text messages with them in the App. The text of each message, who sent it and when are stored on our server so that both of you can read it.

3.5 Live Streams

• Stream data: While you stream a session, our server holds the current state of that session — the players' names as you entered them, their pictures if set, the scores, the statistics, the active player — under a random link, as described in 7.1.

3.6 Your Subscription

• Subscription record: Whether your login has an active subscription, a free trial or none, which plan it is, whether it was bought through the App Store or Google Play, until when it is valid, whether it will renew, and the time of the last change. Our subscription service provider (see 7.2) tells our server these facts whenever they change.
• What we do not receive: No card or bank data, no invoice, no receipt. The purchase itself is made with Apple or Google, who process your payment under their own privacy policies.

4. How We Use Your Information

4.1 Service Provision

• Provide and maintain the App functionality
• Keep a backup of your data under your login and restore it when you log in on another device
• Enable multiplayer features and player connections
• Process game sessions and calculate statistics
• Check whether your login has an active subscription and show you the subscription screen otherwise

4.2 Communication

• Send you the e-mails the login needs: the confirmation of your e-mail address at registration and a password reset when you ask for one. These e-mails are sent by our provider Google Firebase on our behalf.
• Deliver an invitation to connect to the account registered with the invited address
• Provide customer support

4.3 App Improvement

• We do not analyse how you use the App. Bugs are fixed from what you report to us by e-mail.

4.4 Legal Compliance

• Comply with applicable laws and regulations
• Protect against fraud and abuse
• Enforce our Terms & Conditions

5. Legal Basis for Processing (GDPR)

We process your personal data based on:

• Contract Performance (Art. 6(1)(b) GDPR): To provide the App services you've requested — your login, the backup and restore of your data, your subscription and its record, connections, shared sessions, live streams you start, the export and the deletion of your data
• Legitimate Interest (Art. 6(1)(f) GDPR): For the names and pictures of other players you enter, which we store as part of your own game records; for showing your opponent's name and picture in a live stream you start; and to keep the App secure and prevent abuse
• Consent (Art. 6(1)(a) GDPR): Where you choose to add a picture or start a live stream, you decide what is shown; you can end a stream and remove a picture at any time
• Legal Obligation: To comply with applicable laws

6. Data Storage and International Transfers

6.1 Data Storage Locations

• Primary Storage: Your players, sessions, settings, pictures, connections, notification tokens, shared sessions, live streams and your subscription record are stored in Google Cloud Firestore in Frankfurt, Germany (region europe-west3), within the European Union (EU)
• Backup Systems: We keep no backup copies of our own; the redundancy of the Frankfurt region is our provider's

6.2 International Data Transfers

Important Notice: Some of your personal data may be processed outside the European Union, including:

• Your login: Firebase Authentication, the service that holds your e-mail address, your hashed password and your account identifier, is operated by Google exclusively in the United States
• Account deletion: The function that deletes your data on the server after an account deletion runs in a Google data centre in the United States
• Expo (650 Industries, Inc., USA): The notification token and the short notice described in 7.2 are processed on Expo's servers in the United States each time a notification is sent to you
• RevenueCat (RevenueCat, Inc., USA): Our subscription service provider, which checks your purchase with Apple or Google and keeps the record described in 3.6, runs on servers in the United States

6.3 Safeguards for International Transfers

When data is transferred outside the EU, we ensure adequate protection through:

• Adequacy Decision: Google LLC is certified under the EU-U.S. Data Privacy Framework
• Standard Contractual Clauses: The Firebase Data Processing and Security Terms we have accepted incorporate the EU Standard Contractual Clauses; the Data Processing Agreement of RevenueCat, Inc. incorporates them as well for the transfer of your subscription record to the United States
• Technical Safeguards: Encryption and secure transmission protocols

7. Data Sharing

7.1 With Other Users

• Connections: When you invite another user by e-mail address, we store a fingerprint (a one-way hash) of that address, never the address itself, so that the invitation reaches the account registered with it. The invited user sees your display name and can confirm or decline (a link invitation can be confirmed or left alone). When they confirm, both apps record the connection on the player concerned, and each of you can see the sessions you played against each other — the discipline, the settings, every action in the order it was recorded, the scores, the result and the players' names as the recording phone entered them — and the statistics calculated from them, in the App only. A session recorded on one phone appears in the other player's statistics as long as you stay connected; when either of you ends the connection or deletes their account, the other's copy is removed at the App's next check. Nothing else of your data is shared: the other user does not see your other sessions, your other players or your settings. When you accept an invitation or write a message, the other user's phone may show your display name in the notification.
• Invitation links: When you invite someone with a link, we store a fingerprint (a one-way hash) of the code in that link, never the code itself, and nothing about the person you send it to; the link leaves your phone through the app you choose for it — a messenger, SMS, e-mail — and we do not send or see it. Whoever opens the code in the App with their login and confirms becomes your connection: their player name and a fingerprint of their login address are then stored on the connection, so that you can see who accepted, and the connection works as described above. Anyone who holds the link before it is used can accept it, so share it only with the person it is for.
• Messages: Messages you exchange with a user you are connected with are stored on our servers in the European Union and are visible to the two of you alone. We do not read them, and nothing in them is analysed.
• Live scoreboard: When you start a live stream in a session, the current state of that session (player names and, if set, the players' profile pictures, scores, statistics, the active player) is published under a link; anyone holding the link can open it in a browser until you stop the stream. The page shows no account data. Because a streamed match also shows your opponent's details, you are responsible for obtaining your opponent's consent before you pass the link on to third parties.
• Shared sessions: When you start a session together with a player you are connected with, or join one, the session's live log — its setup with the player names, every entry made in it, the login and an identifier of the phone that made each entry, and the list of the session's players — is stored in Google Cloud Firestore in Frankfurt while the session runs. It is visible to the players of that session alone and deleted automatically 24 hours after the last entry. The finished session itself is saved under the host's login like any other session, with its scores and statistics, and shared with the other players of that session as described under Connections above.

7.2 With Third-Party Service Providers

• Google Firebase (Google Ireland Limited / Google LLC): Authentication (login), Cloud Firestore (database), Hosting (the Website) and Cloud Functions that delete your data when you delete your account, send your notifications and keep your subscription record current. Google processes this data on our behalf as a processor under the Firebase Data Processing and Security Terms.
• Expo (650 Industries, Inc., USA): When a message or an invitation arrives for you and you have allowed notifications, a Cloud Function in Frankfurt sends a short notice — the sender's player name and the kind of event, never the text of a message — through Expo's push service to Apple's or Google's notification service and on to your phone. Expo, Apple and Google receive the notification token and that notice and nothing else (see 6.2).
• Your own e-mail app: If you choose to send an invitation e-mail, it is written by the App and sent from your own e-mail app under your own address; we do not send or see it.
• RevenueCat (RevenueCat, Inc., USA): Our subscription service provider. When you subscribe, the App sends your purchase to RevenueCat, which verifies it with Apple or Google and tells our server whether your login has an active subscription. RevenueCat receives your account identifier, the plan, the store, the purchase and expiry times and the store's receipt data — no e-mail address, no name, no game data. RevenueCat processes this data on our behalf as a processor under its Data Processing Agreement.
• Apple and Google as sellers: You buy the subscription from Apple (App Store) or Google (Google Play). They process your payment and your payment data under their own privacy policies; we never see them.
• No other providers: Beside Google, Expo and RevenueCat we use no analytics service, no advertising network and no other cloud infrastructure.

7.3 Legal Requirements

• When required by law, court order, or government request
• To protect our rights, property, or safety
• To prevent fraud or abuse

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

8. Data Retention

8.1 Active Accounts

• Account information: Retained while your account is active
• Game data: Retained to provide ongoing service and statistics
• Invitations: An invitation that is not confirmed is deleted 30 days after you create it; one that was declined or withdrawn is deleted 30 days after the answer. The plain e-mail address, or the code of an invitation link, stays on your phone only while the invitation is open and goes with it
• Connections: A confirmed connection is kept until either of you ends it or deletes their account
• Messages: A message is deleted 365 days after it was sent. When a connection ends, its messages become inaccessible to both of you at once and are deleted by that date at the latest
• Notification tokens: Deleted when you log out on that phone (if the phone is offline then, when you next log in there or another account registers on it, and at the latest 90 days after the phone last opened the App), and when you delete your account
• Live stream data: Deleted when you stop the stream, at the latest 24 hours after the last update
• Shared session live log: Deleted automatically 24 hours after the last entry
• Subscription record: Kept while your account exists and deleted with it. Apple and Google keep their own purchase records as the sellers, under their own rules

8.2 Inactive Accounts

• We do not delete inactive accounts automatically. Your data is kept until you delete your account or ask us to delete it

8.3 Deleted Accounts

• When you delete your account in the App, your login and everything stored under it — players, sessions, settings, pictures, the acceptance record, your notification tokens, your live streams, your connections, the messages in them and your subscription record — are deleted at once, and our subscription service provider is told to delete its record of your login; the deletion on the server completes within minutes. Deleting your account does not cancel your subscription — cancel it in your app store
• When you ask for the deletion by e-mail, we carry it out within 30 days
• Nothing is retained on the server, and no anonymous statistics are kept. The data on your phone stays until you delete it there or remove the App
• Sessions another user recorded against you stay in that user's history under the name they entered for you; a connection to your account ends with the account

9. Your Rights Under GDPR

You have the following rights regarding your personal data:

9.1 Access Right

• Request a copy of all personal data we hold about you
• Available through the App's "Export my data" feature in Settings, which writes one file with your players, sessions, settings, the acceptance record, your open invitations and the state of your subscription

9.2 Rectification Right

• Correct inaccurate or incomplete personal data
• Change player names and pictures in the App; to change the e-mail address of your login, contact us

9.3 Erasure Right ("Right to be Forgotten")

• Request deletion of your personal data
• Available through the App's "Delete my account" feature in Settings, or as described at pool-score.cloud/delete-account

9.4 Portability Right

• Receive your data in a structured, machine-readable format
• The export file of 9.1 is JSON, which you can keep or transfer to another service

9.5 Restriction Right

• Request limitation of processing of your personal data
• Available in specific circumstances defined by GDPR

9.6 Objection Right

• Object to processing based on legitimate interests
• Object to direct marketing at any time

9.7 Withdrawal of Consent

• Withdraw consent for processing where consent is the legal basis
• Does not affect the lawfulness of processing before withdrawal

To exercise these rights, contact us using the information in Section 14 or use the privacy features in the App.

10. Data Security

10.1 Technical Measures

• Secure transmission protocols (HTTPS/TLS)
• Encryption at rest by our provider Google
• Access rules on the database that let each login read and write its own data alone; a live stream is readable only by whoever holds its random link; an invitation only by the inviter and the account registered with the invited address; your subscription record only by you, and written by our server alone
• No administrative credential inside the App

10.2 Organizational Measures

• Access to the production data is restricted to the controller; development and testing run on a separate project without real user data
• Incident response procedures
• Data minimization principles

10.3 Privacy by Design

• Guests' pictures and invited e-mail addresses stay on your phone; the server holds only what the feature needs
• Data protection integrated into system design
• Regular privacy reviews and updates

11. Cookies and Similar Technologies

11.1 Local Storage

• The App stores data locally on your device for offline functionality
• This includes your players, your sessions, your settings, the e-mail addresses of your open invitations and the last known state of your subscription
• You can delete this data when you delete your account in the App, or by removing the App

11.2 No Cookies, No Analytics

• Neither the App nor the Website uses cookies, analytics or tracking
• The live page at pool-score.cloud/live reads the stream directly from our database and stores nothing on your device

12. Children's Privacy

• You must be 16 years of age or older to create a login; the App asks you to confirm this at registration
• We do not knowingly collect personal information from children under 16
• If you believe we have collected information from a child under 16, please contact us immediately
• A younger player can be recorded as a guest on an adult's login, for example by a trainer; that player needs no login of their own

13. Changes to This Privacy Policy

• We may update this Privacy Policy from time to time
• Material changes will be notified through the App or by email
• Continued use of the App after changes constitutes acceptance
• Previous versions will be available upon request

14. Contact Information

For questions about this Privacy Policy or to exercise your rights:

General Inquiries: info@edge-guide.de
Data protection contact: philip@edge-guide.de
Postal Address: edge guide gmbh, Oesterhelwegstr. 19, 33330 Gütersloh, Germany

Response Time: We will respond to your inquiries within 30 days as required by GDPR.

15. Supervisory Authority

You have the right to lodge a complaint with a supervisory authority if you believe your personal data has been processed unlawfully. The relevant supervisory authority depends on your location:

For EU residents: Your local data protection authority
The authority responsible for us: Landesbeauftragte für Datenschutz und Informationsfreiheit Nordrhein-Westfalen, Kavalleriestraße 2-4, 40213 Düsseldorf, Germany

16. Automated Decision-Making

• We do not use automated decision-making or profiling that produces legal effects
• Game statistics are calculated on your phone from your own gameplay data; the App makes no recommendations and builds no profile
• You have control over how your data is used for these purposes

---

By using the Pool Score App, you acknowledge that you have read and understood this Privacy Policy and agree to the collection, use, and disclosure of your information as described herein.

Version 3.0 — October 7, 2026

1. Acceptance of these Terms

These Terms of Use ("Terms") govern your use of the Pool Score app and the
website pool-score.cloud (together, the "Service"), provided by edge
guide gmbh. By tapping "Create a login" when you first start the app,
you accept these Terms and confirm that you have had the opportunity to
read them at the link shown next to that button. The subscription
described in section 9 is also offered to you under these Terms. If you
do not agree, do not create a login and do not use the Service.

2. What Pool Score Is

Pool Score is a scoring app for pool billiards: straight pool (14.1) and
the rack disciplines (8-Ball, 9-Ball, 10-Ball). It records the sessions
you play, the players you add, and your statistics. It is not a
matchmaking service, a marketplace, or a social network.

The app plays a short sound when a new rack is set up. This sound is
"SPRTIndor_Billiard Balls And Triangle 01_KVV AUDIO_FREE" by KVV_Audio,
published on freesound.org (https://freesound.org/s/830220/) under the
Creative Commons Attribution 4.0 licence
(https://creativecommons.org/licenses/by/4.0/); we converted it to a
smaller file format for the app.

3. Account and Login

3.1 You need a login — an e-mail address and a password — to use the
app; there is no free-of-account mode in this version. The login exists
because the app's backup and second-device features are built on it: the
app cannot offer them without knowing who you are. After
registering you confirm your e-mail address by opening the link we send
to it; the app opens once the address is confirmed. Using the app beyond
the login screen requires an active subscription (section 9).

3.2 You must be 16 years of age or older to create a login. If you are
training a younger player, add them to the app as a guest on your own
account rather than creating a login for them.

3.3 You are responsible for keeping your password confidential and for
everything that happens under your login. Tell us if you believe your
account has been accessed without your permission.

4. Your Data: Backup, Restore, Export, Deletion

4.1 While you are logged in, the app keeps a backup of your own data —
your players, your finished sessions, and your settings — on our server,
so you can restore it on a second device by logging in there.

4.2 You can export a copy of your data from inside the app at any time;
the export includes the state of your subscription as our server last
recorded it.

4.3 You can delete your account and everything stored under it from
inside the app, or from the web page pool-score.cloud/delete-account.
Deletion removes your data from our server; it does not undo a live
stream that already ended, since nothing from a stream is kept once it
stops (see section 6).

4.4 What data we collect and why is in the Privacy Policy at
pool-score.cloud/privacy, part of these Terms by reference.

5. Guests, Other Players and Connections

5.1 You may add other people — training partners, opponents — as players in
the app ("guests") without their own login. You enter their name
yourself. By doing so, you confirm that the name is one the person
agrees to be recorded under — for example, first name or initials rather
than a full legal name if you have not asked them.

5.2 You may invite a guest to connect their own Pool Score login
with your record of them. To do so you enter their e-mail address, or
you share an invitation link with a code through an app of your choice.
Only invite people you know personally and who expect to hear from you.
Our server stores only a fingerprint of the address or of the code,
never the address or the code itself; both stay on your phone. If you
choose to send the invitation e-mail, your own e-mail app sends it under
your address; a link you share goes through the app you choose, and
whoever holds it before it is used can accept it. An invitation that is
not answered lapses after 30 days; you can withdraw it before that.

5.3 The invited person sees your display name and can confirm
or decline; whoever opens an invitation link sees it and can confirm or
leave it. When they confirm, both apps mark the player as connected,
and each of you can see the sessions you played against each other and
the statistics calculated from them, as the Privacy Policy describes;
nothing else of your data is shared through a connection. Either of
you can end a connection at any time in the app.

6. Live Streaming

6.1 You can start a live stream of a session in progress. While it runs,
the app publishes a web link; anyone who holds that link can open it in
a browser and see the session's scores, the players' names as you
entered them, and — where you or the other player has set one — the
players' profile pictures, until you stop the stream. A stream
you do not stop is removed from our server at the latest 24 hours after
its last update.

6.2 Nothing on the linked page identifies you or your account; it shows
only what is described above, for that one session.

6.3 Because a stream also shows your opponent's name and, if set, their
picture, you are responsible for making sure your opponent agrees before you share the link with anyone, exactly as you are
responsible for their name under section 5.

7. Profile Pictures

7.1 You may add a picture to your own player profile, and — separately —
a picture you take of another player at the table, for that player's
record in your own app. A picture for your own player is stored, like
your other data, under your login and comes back on a restore; a picture
you take of another player stays on your own phone and is never uploaded
to your account's data on our server. Either picture is included in a
live stream if the player it belongs to is playing in that session (see
section 6).

7.2 If you add a picture of someone else, you are responsible for having
that person's agreement, the same way as for their name under section 5
— with more weight, since a photograph is a more sensitive kind of
personal data than a first name.

7.3 You must not upload or use a picture that is unlawful, that shows
someone in a way they have not agreed to, or that you do not have the
right to use.

8. Acceptable Use

You agree not to enter, upload, or otherwise use through the Service any
name, text, or picture that is unlawful, defamatory, harassing, or that
infringes someone else's rights. You agree not to use the
invitation feature to contact people who have not agreed to be
contacted by you. We may remove such content and suspend
or delete the responsible account. Report such content to
info@edge-guide.de.

9. Subscription

9.1 Pool Score is offered as an auto-renewing subscription. After you
have created your login and confirmed your e-mail address, the app
offers you a monthly or a yearly plan at the price shown in the app
store at the time of purchase. Prices include VAT where it applies and
may differ by country.

9.2 The first 14 days of your first subscription are a free trial, once
per Apple ID or Google account. The trial converts into the paid
subscription at its end unless you cancel it before, in your app
store's subscription settings.

9.3 The subscription renews automatically at the end of each period —
one month or one year — at the then-current price, until you cancel it
in your app store's subscription settings at least 24 hours before the
end of the current period. A cancellation takes effect at the end of
the period already paid for; you keep access until then. The app shows
you the way to those settings under "Manage subscription".

9.4 You buy the subscription from Apple (through the App Store) or
Google (through Google Play), not from us. The purchase, the payment,
your right of withdrawal and the way you waive it when the service
starts, and any refund are governed by Apple's or Google's terms and
handled by them; we have no access to your payment data.

9.5 Your subscription is attached to your Pool Score login, not to your
phone: it opens the app on any phone you log in on, on iOS and Android
alike. One app-store purchase belongs to one login at a time; if you
restore your purchases while logged in with a different login, the
subscription moves to that login and the previous one loses it.

9.6 Without an active subscription — before you start one, or after it
has ended — the app shows you the subscription screen alone. You can
still export your data, delete your account and log out from there, and
your data stays stored under your login until you delete it.

9.7 Deleting your account (section 4.3) does not cancel your
subscription. Cancel it in your app store's subscription settings, or
it renews.

9.8 The app contains no advertising, does not use your data for
advertising and runs no analytics.

10. Availability and Warranty

The Service is provided "as is" within the limits of the law that
applies to paid digital services. We do our best to keep it available
and your data safe, but we do not promise the Service will always be
available, error-free, or uninterrupted. Your statutory rights in case
of a defect remain unaffected.

11. Liability

Nothing in these Terms limits liability for intent or gross negligence,
for injury to life, body, or health, or any other liability that cannot
be excluded under German law. Beyond that our liability is limited to
the foreseeable damage typical for a contract of this kind.

12. Changes to These Terms

We may update these Terms as the app changes. A new version carries a
new version number and date at the top of this document and, where the
change is material, we will show a notice in the app describing what
changed. Continuing to use the Service after a change takes effect means
you accept the new Terms.

13. Governing Law and Jurisdiction

These Terms are governed by German law. If you are a consumer, this does
not take away any protection you have under the mandatory law of the
country where you live. Any dispute not covered by a mandatory consumer
protection rule is subject to the courts of Germany.
